License & Services

The License & Services tab gives you all the relevant information you need about your current license. Here you will be able to view the specifics of your license, as well as data with regards to usage and activity. Furthermore, you can view which license features you have access to, your order history, and quota / statistics.

License & Services

The License & Services tab gives you a full overview of your current plan, what it includes, and any additional services you have purchased. It also serves as the central place to manage users on a group license and to review your order and payment history.

License Overview, Top-ups & Quotas

License Overview

This section displays the details of your current Labvanced license at a glance:

• Current License Plan: The name of your active license (for example, Researcher Premium or Lab Ultimate)
• License Feature Tier: The level of features included with your plan (Free, Basic, Standard, Premium, or Ultimate)
• Using a License: Whether you are using a license, from here you can also leave a license which is useful if you need to join a different license (ie. a single user cannot be a member of two different licenses at once)
• License Expiration Date: The date your license is valid until
• Organization: The name of the organization you are affiliated with
• Loyalty discount: If a loyalty discount applies to you, it will be shown here

Quotas

Quotas define how much of each resource you are able to use under your current plan. This section shows your usage at a glance:

• Storage Usage: The amount of storage space you have used compared to your total allowance, displayed in MB and as a percentage
• Published Studies: How many studies you currently have published versus your plan's limit. Some plans offer unlimited published studies.
• Recordings: The total number of participant recordings available to you, broken down by source:
  • License + TopUp Recordings: — recordings included with your plan, which renew annually on a set date together with TopUp Recordings (additional recordings purchased separately)
  • Individual recordings: Recordings with no expiry date, each user is given a default of 10 individual recordings. Unlocking any data set without a license will automatically deduct from these.
• Total Available Recordings: The combined total across all sources

Recording Top-ups

If you have purchased additional recordings on top of your plan, they are listed here in a table showing the amount purchased, how many have been used, when they were added, and when they expire.

Note: Top-ups that have not yet been activated will show an Activate button.

Validity: Top-up recordings are valid for 12 months after activation.

Redemption / Classroom Codes

If you have been given a redemption or classroom code — for example, as part of a university course — you can enter it here under the Redemption / Classroom Code section to unlock additional recordings.

Classroom Codes Management

(group admins only)

Group license administrators can view and manage classroom codes from this section. Each code shows how many students can use it, how many have already redeemed it, the number of recordings it provides, and its expiry date.

If you are the administrator of a group license, this section allows you to manage the members of your license.

Admin Email

Displays the contact email associated with your account

Users in License (including pending invitations)

Shows how many seats are currently in use out of the total available on your plan, including pending invitations. The admin seat is also included in this tally.

Allowed Email Domain

Unless otherwise specified by your license type and feature tier, only one email domain is allowed per group license.

User Management

Enter a user's email address and click **Invite User to License` to send them an invitation. Once accepted, they will appear in the users table below and you can assign recording quota. Until the invitation has been accepted, a seperate section in this table will appear to indicate that the invitation is pending.

A table listing everyone currently on the license, showing their username, email address, how many recordings have been assigned to them, and how many they have used is shown.

You can adjust individual recording quotas or remove a member from the license at any time.

License Features

This section gives you a detailed breakdown of which features are included in your current plan, organized into four categories. Each feature is marked as either included or not included based on your current license tier.

Editor Objects

Lists all the content elements available for building your study, such as text displays, images, buttons, audio and video stimuli, canvas drawing, file upload, and more advanced elements like custom HTML, JavaScript, iFrames, and video conferencing.

Study Features

Covers the broader capabilities of your study design, including multi-lingual support, longitudinal designs, multi-user studies, participant management, AI-based audio transcription, eye-tracking integration, OpenAI integration, webhook and external data storage, desktop and phone app support, and shared study editing for group licenses.

Recordings

Lists the types of data you can collect from participants, including mouse clicks and movements, reaction times, keyboard input, survey responses, audio recordings, video recordings, screen recordings, eye-tracking, head and face tracking, emotion detection, and heart-rate measurements.

Labvanced Support

Shows the level of support included with your plan, ranging from access to the documentation and live chat through to premium email support, a private onboarding call, and bi-yearly private webinars.

Services

This section tracks any professional services you have purchased from Labvanced, separate from your license plan. If no packages have been purchased in any of these categories, a message will indicate that none are active yet.

Study Building

If you have purchased a study building package, Labvanced's team will help design and implement your study for you. Packages are available in three sizes:

• Small: 8 hours of implementation across 1 revision cycle
• Medium: — 20 hours of implementation across 2 revision cycles
• Large: — 50 hours of implementation across 4 revision cycles

This section shows how many hours and revision cycles have been used out of your total.

Dedicated Support

If you have purchased dedicated support hours, this section shows the total hours you have available and how many have been used to date.

Subject Recruitment

If you have purchased a subject recruitment package, Labvanced will help source participants for your study. Three tiers are available — Budget, Standard, and Premium — each with different levels of service. This section shows how many recruitment hours you have purchased, used, and have remaining.

Orders & Payments

This section provides a full history of every purchase made on your account. Each order shows:

• Order Time: The timestamp for when the purchase was placed
• Order type: The category of purchase, such as a Labvanced license, recording top-up
• Price EUR: The net amount in euros
• Order Status: The current stage of the order, for example: waiting for review, quote sent, waiting for payment, scheduled for activation, or activated
• Payment Status: Whether payment has been received or is still pending
• PDF: A download link for the PDF document, where available
• Action: An Open Order link to view the full details of any individual order
